1-Office Manager
– Full-time
Job Purpose
– The person appointed for this position is responsible and accountable for the efficient and effective operation of the CEO’s office. This includes ensuring smooth operations outside regular working hours if required.
Tasks include updating the database, arranging for staff reviews, attending meetings and communicating the CEO’s decisions to the relevant internal parties.
Core Responsibilities :
– Organize the schedule and the agendas of the CEO and Strategy Director in a timely manner
– Attend meetings, record actions and prepare and distribute high quality minutes to all attendees. Ensure actions agreed on are followed up and required follow up meetings organized
– Interact on a continual basis with NRU staff to ensure the CEO and Strategy Director are fully prepared for all meetings, office calls, conferences and visits
– Ensure management and NRU staff are kept informed of CEO decisions
– Prepare a weekly office management plan with a clear schedule and allocated tasks for delivery
– Oversee the outer office, ensuring smooth operation of all office activity
– Assist in the preparation and printing of notes, reports and correspondence in Arabic and English
– Regulate the register of messages, mail and issued and received transactions.
– Organize, file and archive records, files received and documents issued to facilitate and expedite reference when needed
– Coordinate with the Executive Assistant to ensure there are no diary conflicts involving RC, external organizations or internal NRU events
– Fulfill any other tasks as necessary requested by the CEO and Strategy Director
Person Specification
– Nationality: Saudis only
– Years of experience: 4 Years in large/medium size regional or international company
– Education: Bachelor’s Degree in Business admin or related field
– Language: Fluent in English and Arabic both written and spoken
– IT: Advanced MS Office
Personal Qualities: Completer/finisher, self-reliant, hard worker, prepared to work long hours and travel as required
2-Executive Assistant
– Full-time
Job Purpose
– Responsible for providing a broad range of secretarial services for the CEO and Strategy Director, including answering and transferring phone calls, welcoming visitors, and executing all office management tasks in a timely, accurate and high-quality manner. Also responsible for negotiating with travel service providers in order to obtain low prices, and coordination with embassies in order to issue visas for associates and suppliers. The role holder should also be able to work outside normal working hours.
– Core Responsibilities
– Manage CEO and Strategy Director diaries ensuring no conflict in timings for meetings and events
– Review the work schedule of CEO and Strategy Director, and ensure all arrangements are made that involve staff and the reception of visitors and guests
– Collaborate closely with the Office Manager to ensure all arrangements relating to the CEO have been completed
– Ensure coordination with relevant suppliers to charge hospitality required during meetings
– Ensure all key documents created, approved and/or signed by the CEO have been properly filed
– Support the CEO in developing presentations for a range of audiences
– Review correspondence, letters, reports and follow-up delivery of incoming mail to recipients in accordance with the established protocols
– Assist in processing HR reports for the CEO and Strategy Director
– Welcome guests and visitors to the relevant management offices in accordance with the applicable protocols.
– Coordinate and follow-up bookings for airline tickets, hotels and transportation arrangements to ensure seamless travel and hotel arrangements
– Coordinate with embassies in order to issue visas to associates and suppliers.
– Negotiate with travel service providers in order to obtain low prices.
– Ensure the cleanliness of the reception area and maintain the secretariat of the region through compliance with all policies and procedures adopted by the Ministry.
– Ensure that all office supplies and office stationery are available.
– Answer and forward phone calls, and forward faxes and transactions.
– Ensure that landline telephone numbers are updated for mobile offices in cooperation with IT and HR
Person Specification
– Nationality: Saudis only
– Years of experience: 4 years in the same field or in a similar field in a large – medium size regional or international company
– Education: Bachelor’s Degree in a business related subject
– Additional qualifications: Touch typing, use of specific planning tools e.g. MS Project
-language: Fluent English and Arabic (spoken, written and listening)
– IT: MS Office – advanced level
